The Materials Management Assistant is responsible to ensure adequacy of the quality and quantity of material resources for the facility; maintain records on material resources and purchases; ensure items are ordered through the contracted vendor; special order items are available according to daily operational needs; maintain the physical environment of the units; maintain appropriate stock of supplies and equipment for Winner Regional Health.
Responsible for ordering, unloading and verifying counts and condition of all supplies, equipment and furniture entering Winner Regional. Must accurately identify products by description, product code and cost centers within the facility receiving software. Responsible for knowledge of all inventory supplies. Must accurately dispense and receive stock items to ensure inventory counts remain accurate and proper expensing to used departments is done. Packs and prepares all outgoing packages for delivery. Distributes supplies, equipment and furniture to all areas of the facility. Must have excellent inventory management handling skills to include: Refrigerator storage, outdated product checks, placing items in correct locations, obtaining signatures on deliveries as needed, processing credits, hazardous materials and damage control. Works with Materials Management Director regarding ordering, locating supplies and repair of equipment. Develops and maintains a positive working relationship with all departments and outside vendors.
Responsible for assisting with end-of-year inventory, budget, and reports for the department. Must be willing to stay current on continuing education and any changes in the billing process and operations, as the need arises. Knowledge of verification process including: invoices, purchase orders, and requisitions from supply chain and business office.
Knowledge of medical supplies. Must be able to operate personal computer with basic knowledge of Internet, telephone, fax machine, Email and copy machine. Knowledge of UPS and Fed Ex computer mailing system. Must have excellent math skills, familiarity with location, personnel and departments within the WRH facility. May travel at times, locally and to neighboring healthcare facilities for supplies. Must project professional and positive image when dealing with employees and outside customers.
In absence of the Materials Management Director, the Stock/Receiving Clerk will report to the Materials Management Assistant who then will report to the Chief Financial Officer
