We are looking for a competent Executive Secretary to support the Governing Board, CEO, and executives at WRH. You will be the one to assist the Board and CEO in orchestrating its activities, as well as work in a highly reliable and confidential manner. You will also organize and maintain the CEO’s schedule and assist the executive team by performing a variety of administrative tasks. Serves as a resource internally and externally for the overall organization.
Executive Secretaries are independent, highly organized professionals with great time-management and multitasking abilities. Working with diligence and competence is essential so that executives can focus on their managerial responsibilities without concern for other tasks.
The goal is to contribute to the effectiveness of the organization by being a resource to executives, board members, physicians, staff, patients/residents and families, as well as external stakeholders, ensuring all assigned administrative duties are carried out timely, efficiently, and confidentially.
Responsibilities
- Collaborate with the Board Chair and CEO to prepare for and document meetings, maintaining all records as well as medical, legal, and facility licensure documentation
- Execute a high level of confidentiality in all matters. Handle confidential documents ensuring they remain secure
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, travel arrangements, etc.
- Attend executive and/or department leader meetings and keep minutes, as requested
- Identify locum tenens services to maintain the surgical schedule
- Make housing arrangements for professional students and providers
- Receive and screen phone calls and redirect them when appropriate
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Prepare Powerpoint presentations and Excel spreadsheets and reports, as requested.
- Prepare invoices or financial statements and provide assistance in bookkeeping
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
Requirements and skills
- Proven experience as executive secretary or similar administrative role
- Proficient in MS Office and “back-office” software
- In depth knowledge of office management as well as technical vocabulary of the healthcare industry
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality
- Minimum of Associates Degree in business administration or relative field preferred
